ADMINISTRATION ASSOCIATE JOB DESCRIPTION
Reports to: Executive Director Employment Status: Hourly
Position Summary:
Responsible for record keeping and files maintenance, reception, events coordination, mass mailing, backup for financial posting and reports, and other duties as necessary.
Initial Responsibilities
- General Office
- Filing and record keeping
- Membership renewal and bug letters
- Other mass mailing for fundraising and outreach
- Answer phone and greet walk-ins
- Preparation of outgoing mail
- Events
- Sell tickets and provide information about events
- Maintain records on events’ income and expenses
- Post-event P&L reports
- Land Protection
- Copy and maintain land protection records
- Assist Exec.Director with gathering all necessary legal and other documents for pre-closing and post-closing of land protection projects
Additional Future Responsibilities
- Prepare bank deposits
- Generate acknowledgement letters to donors
- Accounts Payable
- Do all journal entry and recording of assets’ values (Quickbooks)
- Create monthly financial reports
- File tax exemption reports & pay fees on all newly acquired purchased lands
- Assist Treasurer with preparation for Finance Committee meetings
- Work with auditing firm during annual audit
- Assist Executive Director with reports as needed
- Attend meetings and professional development workshops
Qualifications
- Familiarity with generally accepted accounting principles, prefer an associate degree in accounting
- Proficiency in Microsoft Office (Outlook, Word, Excel, Powerpoint, and Access or other database management); Quickbooks experience a plus
- A minimum of two years office work; non-profit office work a plus
- Strong organizational skills
- Good verbal and written communication skills
- Ability to work well with others and to handle multi-tasks
